What to put in your bid request
Whoever you hire, ask every bidder to cover these. Our written scope answers each one.
- The number of buildings and which surfaces on each: siding, breezeways, stairwells, garage doors.
- The common areas: sidewalks, parking, pool deck, clubhouse, entry monuments, dumpster pads.
- How often each surface is cleaned, and in which season.
- The dates the work happens, and any days to avoid.
- How residents are told, and what they need to move.
- A certificate of insurance.
- How plants, cars and patios are protected.
- What the board receives when the work is done.

Siding and building exteriors every 12 to 18 months, sidewalks and driveways every 6 to 12 months, roofs and gutters every 2 to 3 years. A large community can be split across seasons so the cost lands in more than one budget year.
How we handle a large community
We schedule building by building, so a large property is finished in days. Our largest community to date had 37 buildings. Residents get a notice with the dates, what to move off patios and balconies, and a number to call with questions. The board gets a photo report when the work is done.
Getting it approved
The scope comes with a per-building price, so a board can phase the work or approve it all at once. Most boards see it within a week of the walk-through.
